How to review and approve job matches
When you go to the Auto Apply dashboard, you'll find two tabs in the upper-left area:
Quick Review — where you approve or decline recommended jobs.
Your Jobs — where you can track and browse all jobs Auto Apply has found, applied to, or declined.
The Quick Review tab is where you take action on recommended jobs. For each recommendation, you'll see two buttons: "Apply" to submit the application, or "Decline" to skip it. (Declined jobs can't be undone.) This tab is most relevant if your mode is set to Hybrid or Review , where manual approval is required. In Auto Mode, the tab is still visible but doesn't display recommendations to approve, since applications are submitted automatically.
The Your Jobs tab is divided into four sub-tabs:
All — every job Auto Apply has found for you, across all three statuses below.
Review Matches — jobs waiting for your approval.
Applied — jobs that have already been applied to, with access to the application details.
Declined — jobs you've rejected.
Why do I sometimes see the same job more than once?
Occasionally, you may see the same job appear more than once in your queue. This typically happens because some companies repost the same role across multiple job boards, or because the same listing is refreshed and republished. AIApply's system prioritizes new and active postings, so you can safely skip duplicates without missing out on new opportunities.
Understanding your match score
Each job in your queue includes a match score that estimates how closely the role aligns with your skills, experience, and the filters you've set up. A higher match score means the position is a stronger fit for your profile — based on factors like job title, required skills, location, and your stated preferences. In Hybrid mode, jobs with a Strong Match are submitted automatically, while lower-scoring jobs are sent to you for review.
Understanding queue statuses
Your queue can show different statuses depending on what stage it’s in. Here’s what each one means:
Pending: the subscription was purchased, but the form has not yet been completed.
Applying: the tool is actively searching for jobs and submitting applications.
Done: the queue has been completed and all purchased applications have been submitted (depending on the plan: 100, 250, 600 applications, etc.).
Paused: the queue was manually paused by the user.
System Paused: the queue was paused automatically by the system due to an issue. A common reason can be errors related to the resume or form.
Inactive Subscription: if the subscription is not used for several days, it may automatically switch to this status.
How to pause and resume your queue
You can pause or resume your queue at any time from the Auto Apply dashboard:
Open the Your Jobs tab.
Click "Pause" to stop applications, or "Start" to resume the queue.
This is useful if you want to temporarily stop applications without cancelling your subscription — for example, while you’re reviewing offers or taking a break from your job search.
How the AI learns from your declines
When you reject a suggested job, it’s very important to complete the feedback form that appears afterward. This helps our AI agents improve future job recommendations.
After rejecting a job, you’ll be asked to specify the reason, such as:
Expired
Company
Location
Salary
Job Title
Seniority
Your Skillset
Providing this feedback is extremely important, as it helps improve future matches and the overall quality of recommendations you receive.
